ProjEx Advisors LLC | Website, licensing, acceptance records, onboarding, and support

Effective Date: October 2, 2026

ProjEx Advisors LLC (“ProjEx,” “we,” “us,” or “our”) provides the ProjEx Propose desktop software and operates projexadvisors.com. This Privacy Policy explains how we collect, use, disclose, and retain personal information in connection with our website, sales and customer relationships, software licensing and EULA acceptance records, onboarding, and support. It also explains an important distinction: during ordinary use of ProjEx Propose, your working RFP files, Knowledge Base, local search index, analyses, and generated proposal files remain in storage you control and are not automatically uploaded to ProjEx.

1. Information We Collect

Website and business inquiries

When you contact us, request a demonstration, or submit the website contact form, we may collect your name, business email, phone number, company, role, message, information about your proposal activity (such as the approximate number of RFPs you handle), and related correspondence. Our website currently uses Cloudflare Web Analytics for aggregate website-performance and traffic statistics. We do not currently use Microsoft Clarity.

Website technical information

When you visit our website, website-delivery and security infrastructure may process technical request information such as IP address, browser or device information, requested URLs, timestamps, and security or performance signals. Cloudflare Web Analytics is used for privacy-oriented aggregate analytics and, under the current configuration and provider documentation, does not use cookies or localStorage to collect analytics metrics. We do not currently use Microsoft Clarity, session replay, advertising pixels, or cross-site behavioral advertising technology.

Customer, order, and billing information

We collect business contact information, Order Form details, subscription tier, License Key information, invoice and payment-status information, and related account and customer-service records. We may receive payment or invoicing information from service providers used to administer business billing.

Licensing and EULA acceptance metadata

To activate, validate, secure, and administer licenses, the Software and licensing systems may process a License Key, Machine fingerprint or identifier, optional Machine name, optional company or user name entered at activation, Software version, configuration version, activation and check-in timestamps, Subscription status and expiration, and related technical metadata. To document acceptance of the EULA, we may receive and retain acceptance information including the applicable EULA version, SHA-256 hash of the exact text presented, UTC acceptance timestamp, Software version, configuration version, License Key, and Machine identifier. We do not need to collect a Windows username or additional personal profile information solely to record EULA acceptance.

Support and onboarding information

If you contact support, we receive the information you include in your message. A support request sent from the Software also includes technical and licensing identifiers shown to you in the preview before transmission, such as the License Key or masked License Key, Machine fingerprint, Software version, and configuration version. If you choose to include recent activity logs, the Software applies automated, best-effort redaction locally and lets you preview the payload before sending it. Automated redaction may not remove every sensitive detail, so you should review the preview carefully. During customer-led onboarding, calibration, training, or troubleshooting, ProjEx personnel may view Customer-selected materials on a supervised basis. We do not ordinarily retain copies of Customer RFPs or other working documents unless the Customer separately chooses to provide them for a specific support or onboarding purpose.

Information processed by the Software on your computer

Customer documents, local indexes, locally generated analyses and proposals, local configuration, and locally stored API credentials remain on Customer-controlled storage during ordinary operation. ProjEx does not receive telemetry reporting how you use the Software.

2. Local AI and Cloud AI

If you use Local Processing, document inference occurs on your own supported hardware. Separate network communications can still occur for activation and periodic license checks, component distribution, EULA acceptance records, and support requests.

If you select a supported cloud AI service, the Software sends the information needed for the requested operation directly from your Machine to that provider using your own account and credentials. ProjEx does not receive or store your provider API key. The cloud provider’s own terms, privacy/data policies, account settings, retention practices, and any data-sharing or training choices apply to that processing. ProjEx does not control those practices.

3. How We Use Information

  • provide, activate, validate, secure, administer, and support subscriptions and License Keys;
  • provide demonstrations, onboarding, calibration, training, and support requested by customers;
  • document EULA acceptance and maintain reliable contract and licensing records;
  • communicate about inquiries, orders, renewals, support, product changes, and customer relationships;
  • operate and improve our website and understand aggregate website traffic;
  • protect ProjEx, customers, and the Software against fraud, misuse, security threats, and legal claims;
  • comply with legal, tax, accounting, regulatory, and contractual obligations; and
  • establish, exercise, or defend legal rights.

4. No-Training Commitment

ProjEx does not use Customer materials it receives for authorized onboarding or support to train public foundation models. During ordinary Software operation, ProjEx does not receive your locally stored working documents. If you enable Cloud AI, information sent directly to your chosen provider is governed by your provider account and that provider’s current policies and settings; ProjEx cannot guarantee or control a third party’s retention or independently selected data-sharing or training settings.

5. How We Disclose Information

We may disclose personal information to service providers that perform functions for us under appropriate contractual or legal restrictions, including licensing and activation services, secure relay or storage infrastructure, website infrastructure and analytics, email delivery and mailbox hosting, cloud backup or file synchronization, invoicing, and professional services. Current examples include Keygen for licensing functions; Cloudflare for website, relay, download/storage infrastructure, and Web Analytics; Mailgun for transmission of support or contact-form email; Google (Gmail) for the ProjEx support mailbox; and Dropbox and Microsoft OneDrive for cloud backup and file synchronization of ProjEx-controlled working folders. Service providers may change as our business evolves.

We may also disclose information when reasonably necessary to comply with law or legal process; protect rights, safety, or security; investigate fraud or abuse; or in connection with a merger, financing, acquisition, reorganization, sale of assets, or similar business transaction, subject to appropriate protections.

We do not sell or share personal information as those terms are defined under applicable U.S. state privacy laws, and we do not use personal information for targeted or cross-context behavioral advertising. We do not operate ProjEx Propose as an advertising platform.

6. Retention

We retain information only for as long as reasonably necessary for the purposes described in this Policy, including to maintain subscription and EULA acceptance records, provide support, preserve transaction and accounting records, resolve disputes, enforce agreements, and comply with law. Retention periods vary by record type and legal or operational need. Diagnostic logs or Customer materials voluntarily provided for support should be deleted or de-identified when they are no longer reasonably needed for the support purpose, subject to legal holds or other legal requirements.

7. Security

We use reasonable administrative and technical safeguards appropriate to the information we control. Examples described in the current product architecture include HTTPS for network communications, signed licensing records, cryptographic protections for configuration files, hash verification for distributed components, and local redaction and preview of optional support logs. No security control, transmission, redaction process, or storage system is guaranteed to be completely secure.

8. Your Choices and Rights

You may contact us to request access to, correction of, or deletion of personal information we maintain about you, subject to applicable law and legitimate recordkeeping needs. Where applicable law provides additional rights, those may include data portability, opting out of certain processing, and appealing a decision on a privacy request. You may opt out of non-transactional marketing communications by using the unsubscribe mechanism provided or contacting us. Certain licensing, security, transaction, and EULA acceptance records may need to be retained to document contractual rights, prevent fraud, or comply with law.

Depending on where you reside and applicable legal thresholds, additional privacy rights may apply. We will respond to verified requests as required by applicable law. This Policy applies to ProjEx’s U.S. business offering and does not address rights or obligations arising solely under laws outside the United States.

9. Children

Our website and Software are intended for businesses and professional users and are not directed to children. We do not knowingly solicit personal information from children through the ProjEx Propose commercial offering.

10. Changes to This Policy

We may update this Policy to reflect changes in our practices, technology, services, or legal obligations. We will post the updated version with a new effective date and provide additional notice when required by law.
